What Rights do you have?
You have the rights to see any records relating to your treatment. This can be done so through official request called a ‘subject access request’. J.A. Sports Therapy will help with any request, which will not affect your ongoing treatment. Your data will not be used for any automated profiling purposes.
The right to restrict or prevent the processing of your personal data
Consent to treatment can be withdrawn at any stage, however we are legally obliged to retain notes concerning treatments. These clinical notes must be held for 7 years for adults, and 25 years for children. We will delete these from our records securely following this.
You've got the right to be informed about our collection and use of data provided.
Withdrawal of treatment consent would result in termination of your treatment.
You have the right to remove or request we delete any personal data we hold about you. We only hold your personal data for a limited time, as explained in above, but if you would like us to delete it sooner, please contact us using the details provided.
If you have any cause for complaint about our use of your personal data, please contact us using the details provided. We will do our best to solve the problem for you. If we are unable to help, you also have the right to lodge a complaint with the UK’s supervisory authority, the Information Commissioner’s Office.

We never share personal data with third party organisations. We may contact you by telephone, email, SMS regarding our services and promotions which may be of interest to you, unless you have specifically requested us not to. You can opt of any any marketing communications at any time.
How do we keep your data secure?
All medical and confidential data gathered during our assessment and treatment sessions with you is held securely. We use secure systems to store your data via remote website server hosts. These hosts provide our clinic management software, website and some other aspects of our service, which may be based outside of the European Economic Area, or use servers based outside of the EEA – which is the nature of data stored in the “cloud”. All these systems meet requirements given by IOC and GPDR for data storage.
All our clinical records and personal contact details are only accessible by authorised clinicians on our securely on our “cloud” based system. Payment records are all encrypted.
We won’t distribute, use or disclose any of your data with any third parties for any purposes.
In specific situations, we may be legally required to share some data that is held by us, which could include your personal data. For example, if we are involved in any legal proceedings, where we are complying with legal obligations, a court order, or a governmental authority.
Whilst we will use all realistic efforts to safeguard your personal data, you accept that the use of the internet is not totally secure and for this reason we cannot guarantee the security or integrity of any personal data which are transferred from you or to you via the internet. Any confidential information that is required to be sent over the internet will be done via password protected documents or use of encrypted email if requested.
